Recreational Soccer Team Manager’s Duties

The main role of the manager is to make sure the coach can run games and practices and doesn’t have to deal with the "behind the scenes" work. These different tasks can be divided up between parents so one person doesn’t have to do them all, but there needs to be one main contact for the VASC.

1. Team and Player Registration (June)

Register players with the Verona Area Soccer Club (VASC) and Madison Area Youth Soccer Association (MAYSA). Each team member must fill out a Player Registration Form and money must be collected from everyone. Fees owed are listed on the VASC Team Registration form. Checks are written to the manager, who then writes one check to the VASC. All forms are found online at veronasoccer.org or maysa.org. This registration covers both fall and spring seasons.

After your team's registration material is complete, all information should be dropped off in the VASC drop box at the Club Administrator's (Mary Mattison/ReQuest Ltd.) address. The address is 600 Hickory Ct. Hickory Ct is off Basswood Ave and is the second street from Badger Ridge Middle School. The drop box is to the left of the garage. You can also drop off registrations at ReQuest Ltd. The address is 421 S Nine Mound Rd., Verona. Drop offs to ReQuest Ltd. need to be done during business hours M-F while the office is open.

2. Uniforms (Summer)

Uniforms must be ordered for each player that needs one. VASC has a meeting in the summer where uniforms can be ordered. Order forms and money are collected at that time.

3. Coach and Manager Registration (August)

Also found online is a form for all coaches and managers to fill out. The form is sent in with a 1"x1" picture to the VASC before the fall season begins.

4. Schedules (August and April)

Game schedules are handed out at a coaches/managers meeting. A Coaches Book is also handed out at this time. These meetings are held a few weeks before the season starts. Meeting time notification is sent via email. It is the manager’s responsibility to see that all team members receive a schedule. Recreational games that need to be rescheduled due to weather or other reasons are rescheduled by the home team manager. Talk with your coach and the other team’s manager to find another date for the game. Most VASC home games are at Reddan. 5. Referees (August and April)

Referees will be able to sign up for games at an Alliance (Verona, Regent, Magic, Shorewood soccer clubs) referee party after schedules are handed out.  Managers will receive referee assignments via email.

For all recreational matches, the HOME team is responsible for paying the entire fee. Referees must be paid BEFORE the game begins. The referee fees are NOT part of the VASC and MAYSA fees. These fees need to be collected each fall and spring to pay the referees.

6. Corner Flags

Home teams are responsible for bringing corner flags for the fields. Corner flags are purchased from team funds (ie the club does not provide them). The only park that generally does not need flags provided is Reddan Soccer Park. Flags can be purchased from most sporting goods stores or can be ordered at Big Toe Soccer (contact Derek Helmer).

Classic Soccer Team Manager’s Duties

The Classic Team Manager's Duties differ only slightly from that of a recreational team manager. The main differences are players cards, referees, and scheduling.

1. Player Cards
Classic teams have a card for each player, coach, and manager. These cards are mailed to the manager before the season but the manager must complete them. Each card requires a 1"x1" photo of the player's face. These can be obtained by gathering school photos or take a group shot with about 6 players in the group and cut the faces out. They don't have to be pretty, but the player should be recognizable. The signature of each player also has to be on these cards. A handy tip is to get each player to sign a small return address label. That way when the manager receives the player cards, he or she can glue on the photo and put on the signature. The next step in laminating the cards. You will receive individual laminating sheets for each card. Sometimes it is best to trim the card slightly so there is a good seal all around the card. Cards can be laminated at the MAYSA office or at Kinkos. Punch a hole in the corner of each card and put them on a key ring. These cards are presented to the referee at the beginning of each game. Make sure you get them back after each game. These cards are like gold because no manager wants to start over with cards.

2. Referees
For all matches at the Classic Level and above, each team is responsible for half of the total required referee fee (based on the number of referees at the match). MAYSA assigns the referees. Classic managers do not need to find referees for games.

The referee fees are NOT part of the VASC and MAYSA fees. These fees need to be collected each fall and spring to pay the referees.

3. Scheduling
Managers will receive by mail a few months before each season a sheet requesting dates when you do not want a game. Be sure to fill out this sheet as completely as possible because Classic games may not be changed once the schedule is set with only a few exceptions. Consider school dates such as soccer tournaments your team wants to play in, cross country, track, music concerts, plays, etc. You will need to find out what other activities outside of soccer your players participate in. For example, if you have 4-5 players in band with a roster of 16, your will want to make sure and block out those concert dates.
